Learning and Events Assistant

BAFTA is currently recruiting a full time Learning and Events Assistant to work in our London office.

Full Time, permanent
Salary – £20,000-£22,000 dependent on experience

This is an administrative role within the BAFTA Learning and Events team, supporting the team to fulfil BAFTA’s remit to champion creative excellence in film, TV and games. BAFTA Learning and Events champions excellence both by developing creative skills and by recognising and promoting talent.

Key responsibilities

The Learning and Events Assistant ensures the smooth running of the learning programme. Reporting to the Head of Learning and Events the Learning and Events Assistant oversees internal and external communications as well as financial and other record-keeping, ensuring they are accurate and up to date. The Assistant also works to the Events Production Officer, assisting with the coordination of the events programme, maintaining the highest standards of event production.

The role is assisted by an intern who provides support for the regular administration tasks and event delivery.

The role includes regular evening work and occasional weekends.

Specific Responsibilities

Coordination

  • Liaise with other BAFTA departments to arrange technical and guest processes for events;
  • Manage guest lists and box office for events and other event assistance as directed by Head of Learning and Events or Events Production Officer;
  • Maintain communication with venues, updating function requirement details;
  • Update Function Sheets for 195 and attend 195 Operations meeting as required;
  • Respond to audience enquiries via email and telephone regarding programmes in London and regions;
  • Operate day-to-day procedures of the Learning & Events Department, anticipating upcoming administrative issues;
  • Oversee the Learning and Events intern to perform regular tasks such as arranging guest travel and hospitality, producing the weekly newsletter, updating the event listing.

Record Keeping

  • Working with Finance team to maintain accurate accounts records
  • Raising Purchase Orders for the team
  • Updating internal team records including event attendance, number of events, other audience data.

Communications

  • Research and contact local organisations in London and regionally for promotional purposes;
  • Help to build audiences and maintain an on-going relationship with them through regular communication;
  • Prepare and distribute e-newsletters;
  • Website management and updating for Learning & Events’ programme and booking procedures, in liaison with BAFTA IT and online teams;
  • Ensure BAFTA information/images appearing on external and partner websites and marketing materials comply with BAFTA identity guidelines;
  • Compile data and statistics for Head of Learning & Events and as required for reports, BAFTA publishing and Committees.

Person Specification

1. Good knowledge of the film, TV and games industries and of BAFTA’s work
2. Experience of working on a programme of events and/or at a similar cultural organisation (e.g. festival, arts venue etc.)
3. Excellent customer service skills
4. Excellent attention to detail
5. Excellent time management, particularly in relation to regular tasks
6. Excellent organisational and analytical skills
7. Good knowledge of Excel, Word and other office applications
