Salary: Circa £45,000 per annum

BAFTA is the leading UK organisation promoting and rewarding excellence in the art forms of the moving image which today encompass film, television and video games. The Academy now seeks a Head of Facilities to join its management team and to manage all operational aspects of its building at 195 Piccadilly as well as its staff offices on Charles II Street.

The main function of the role is to ensure that BAFTA’s buildings operate and are maintained at the very highest standards in-keeping with BAFTA’s brand values and charity remit. The role also covers the management of state-of-the-art technical facilities and equipment, liaison with clients, management of reception and security staff and all health and safety matters.

You will have significant and proven experience at a senior level in buildings management with a focus on client and service standards. You will also have proven experience of service staff management, health and safety management and a knowledge and understanding of the audio/visual technical industry. Excellent people and client skills are essential for this role.

Key responsibilities

  • To manage the smooth running of all buildings and facilities for BAFTA
  • To manage all operational aspects of 195 Piccadilly in so far as they relate to the smooth running and maintenance of the building to ensure the best possible visitor experience at 195
  • To manage the facilities and staff offices at 16 Charles II Street
  • To ensure the technical facilities at 195 are maintained at the very highest standards and to manage the technical team and resources
  • To be a key advocate for sustainability and environmental best practice at BAFTA
  • To oversee BAFTA’s records management policy and systems
  • To ensure health and safety systems are maintained at the highest standards within the BAFTA buildings

Specific responsibilities

1) Management of 195 Piccadilly:

  • Ensure customer service standards are maintained at the highest levels through our Reception, Host, Technical and Security staff
  • Ensure that the working relationship between BAFTA and 195 Piccadilly staff is efficient and cooperative with a view to ensuring the highest customer service standards
  • Ensure BAFTA’s technical standards and facilities remain state of the art with corresponding technical service standards
  • Maintain a close relationship with the 195 hospitality team to ensure that all client needs are met
  • Maintain good relationships with our industry suppliers and supporters
  • Manage all capital and development projects at 195
  • Ensure the internal environment remains fresh, clean, well maintained and appealing for the benefit of all visitors to 195
  • Maintain a suitable environmental policy for the building
  • Lead all office moves, renovation and refurbishment programmes
  • Ensure there is an effective preventative maintenance programme in place for both sites=
  • Project manage, supervise, and coordinate contractors on site
  • Manage the relationship between BAFTA and the Crown Estate’s retained Managing Agents (BNP Paribas)

2) Office and facilities management of the BAFTA staff offices (5th floor, 16 Charles II Street) by managing:

  • Cleanliness and tidiness
  • All office facilities
  • All maintenance contracts
  • Stationery
  • Telephones
  • Security
  • Landlord relationships
  • Storage
  • Kitchen
  • Recycling and our environmental policy

3) Health and safety:

  • Ensure BAFTA maintains an effective health and safety policy for the benefit of all staff and visitors to BAFTA’s buildings
  • Manage the health and safety contract and ensure it remains effective
  • Develop, implement and review existing policies, procedures and systems
  • Coordinate all training as necessary
  • Ensure Fire Marshall and First Aid training is up to date
  • Devise health and safety action plans and review regularly

4) Other responsibilities:

  • To be an advocate for environmental best practice
  • To ensure BAFTA has a suitable records management policy and process in place
  • To take a hands-on approach to all aspects of the job
  • To manage and develop external relationships as appropriate to allow successful performance of the role
  • To contribute to the HR management of BAFTA
  • To manage any office moves or similar building related projects
  • To contribute to the Academy’s charitable objectives
