How do I cancel my reservations?

There are two ways to cancel depending on whether the Event/Screening is open (seats are available) or closed (full).

If the screening is OPEN, follow this link to REGISTER FOR EVENTS . This will open up the events and calendar page of 123signup.

Go to the screening/event you wish to cancel and select REGISTER to the right of the event/screening title.

You will be prompted to log-in using your registered email address. This will open up the page which will give you the option to CANCEL.

Hit CANCEL and your reservation will be immediately cancelled.

If the screening is CLOSED, follow the same link to REGISTER FOR EVENTS . Again, This will open up the events and calendar page of 123signup.

Go to the screening/event you wish to cancel/change and select CHANGE to the right of the event/screening title.

You will be prompted to log-in using your registered email address. This will open up the page which will give you the option to CANCEL or CHANGE your reservations.

Hit CANCEL or CHANGE depending on which option you want to use. It is important that you remember that you must CANCEL your own reservation. You can uncheck your guest or change their names but you must CANCEL your own reservation completely.

Why can't I simply cancel or change my reservation?

The 123signup system uses a standard e-commerce model but as most of the BAFTA New York events are free, 123signup has adapted their standard model to allow for cancellations - which you would not normally be able to do online if you were ordering tickets via TicketMaster or any other credit card system. All e-commerce systems require a formal credit card refund which is a completely separate process from the ordering system. Every time you cancel a reservation a separate system comes into play so that your seats can be put back into the ticket pool.

The open or closed status of the screening is the most important factor because once all seats are reserved the only way to enable cancellations so that the reserved seats can be cancelled and returned to the pool is by effecting a "refund" system which allows the returned "tickets" to be returned and added to the limit for the specific screening. This is why a closed screening requires a different route to cancel the reservations. This is the equivalent of Tickethub or other return ticket systems. It is not seamless in any of the largest ticket processing agencies so we think that 123signup has made a difficult process - if not simple - at least as simple as it can be.

Do you overbook screenings? Why can't you guarantee seats?

No question, we always overbook. In order to maximize the available seats we overbook because members unfortunately have to cancel for many legitimate and often last minute reasons. We understand that weather, work and family affect plans which will cause cancellations. Like every other aspect of life statistics tell us the rough numbers who will fall by the wayside between registration and screening time. It can vary from 20-50% which in both a small venue and a large screen multiplex can mean anywhere from 30 to 175 people. It is common to have a "full" screening with 40-50 free seats available as the film begins. This is why we rely so much on CANCELLATIONS to allow Members to register right up until screening time and why we have to start to penalize members who simply do not show up. We have to evaluate a significant number of factors for each screening and we do that 90 times a year and almost never have a full house. In the past five years this system has rarely gone wrong where members with reservations have not been able to get into the screening. Even these usually involve extenuating circumstances such as mixed screenings or theater changes.
