Reports to: BAFTA Scotland Director and BAFTA Scotland Awards Manager

Contract type: Freelance (4 month contract: August – November 2016)

Salary: £18k pro rata, 30 hours a week (4 days)

Location: Glasgow

Role overview

The BAFTA Scotland Awards Coordinator will support aspects of the coordination of the British Academy Scotland Awards (6 November) following the approved Awards Rulebook to process entries, voting information, communication with nominees and winners.  The post-holder will offer front-line support for entrants, voters and juries as well as supporting in production of the BAFTA Scotland Nominees Party and Awards Ceremony.

The role would suit a candidate who has good communication skills, meticulous attention to detail and can build and maintain relationships at all levels, is motivated by delivering outstanding events whilst being able to multitask in a busy environment and reach team and individual targets.

Main Duties and Responsibilities:

  • Work with the Awards Manager to approve entries for the BAFTA Scotland Awards
  • Update Awards sections of Entry website, Voting website and main BAFTA Scotland website
  • Process BAFTA Scotland Awards online voting including: communication with membership, processing entries, creation of voting data and listings, processing confidential results and liaising with the Academy’s scrutineers Deloitte with the Awards Manager
  • Assist Awards Manager in coordinating Broadcaster Entry process
  • Co-ordinate inviting and scheduling of all BAFTA Scotland Awards juries to include preparation of all online voting/paperwork and liaison with the BAFTA Committee who will chair the juries with other Awards staff
  • Collate the list of nominees and winners and adhere to strict confidentiality measures with other Awards staff
  • Handle Awards-related queries with other Awards staff
  • Assist coordinating the seating plan and ticketing for the BAFTA Scotland Awards with the Director
  • Work with the Awards team in the preparation for the BAFTA Scotland Awards as required
  • Assist Awards Manager with nominee communication, collation of nominee material and event organisation of Nominees Party.
  • Assist with invitations and any required travel arrangements for citation readers
  • Liaise with Director regarding sponsors requirements; assisting with sponsors, advertisers and gifters in relation to the Awards ceremonies

General:

  • At all times be professional and knowledgeable in representing BAFTA Scotland at events, inspiring both clients and industry professionals alike

 Stakeholder management/relationships:

  • At all times to liaise effectively with other BAFTA departments, ensuring good working relationships are developed

Requirements for the role:

  • Previous experience in the events industry, ideally working for another Awards organisation
  • Knowledge of the creative media industries in Scotland
  • An excellent attention to detail
  • Experience of working to deadlines and a drive to achieve targets
  • A relevant degree in Events Management would be an advantage
