Acting HR and Facilities Officer

The Academy seeks an Acting HR and Facilities Officer to cover Adoption Leave. The successful candidate will coordinate the staff move in June 2008, manage the facilities and offices, administer the HR function for BAFTA, line manage the reception teams and hosts within BAFTA and act as Health and Safety officer for the buildings. Good package, central London.

Key responsibilities

• To coordinate the staff office move in June 2008
• To manage the facilities and offices at Brook House
• To administer the HR function for BAFTA
• To line manage the 195 Reception and Host teams
• To act as Health and Safety officer for Brook House and oversee 195 Piccadilly

Specific responsibilities

Office Management

To ensure the staff offices are run efficiently, safely and cost effectively with specific responsibility for:

• Cleanliness and tidiness
• All office facilities
• Stationery and business cards
• Photocopiers & franking machine
• Air conditioning system
• Telephone system & company mobile telephones
• Cleaning & pest control contracts
• Security for the building including alarm system and key holders
• Representing BAFTA at quarterly tenants meeting
• Re-cycling procedures
• Storage policy and facilities
• Kitchen and internal refreshments

Human Resources

To administer the HR function and policies for the company by:

• Acting as first point of call for all external/internal HR enquires and managing all internal/legal issues from start to closure
• Advising on and implementing new HR policies
• Coordination of recruitment campaigns, new appointments and interviewing when appropriate
• Responding to job applications and general Academy written correspondence
• Overseeing work experience applications and speculative enquiries
• Coordinating internal job vacancies
• Managing inductions including communicating with existing staff the arrival of new staff, including Financial Controller for payroll
• Writing offer letters to new employees including temporary staff, managing and issuing contracts
• Coordinating and managing staff training
• Providing administration support for annual staff appraisals and ensuring all appraisals are undertaken
• Ensuring the staff handbook is kept up to date

Health & Safety

To ensure the company operates a comprehensive and cost effective Health and Safety policy which is fully embraced by all personnel by:

• Providing advice on H&S
• Managing an external H&S professional consultant and overseeing all H&S action plans and activity / work registers
• Keeping policies updated to ensure compliant, practical and up-to-date practices
• Co-coordinating any necessary H & S training
• Ensuring Fire Marshals and First Aid training is up to date

Managing Reception

To ensure the 195 Reception service is professional, friendly and efficient by:

• Managing the reception team at 195 Piccadilly
• Coordinating and implementing appropriate Reception procedures
• Conducting yearly appraisals for Reception team
• Ensuring the receptionists are providing a first class service
• Ensuring all team members have up to date job descriptions and information
• Approving overtime claims and managing absence

Managing Hosts

To ensure the 195 Host team is professional, friend and efficient by:

• Managing the team of Hosts at 195
• Coordinating and implementing appropriate Host procedures
• Drawing up and distributing monthly Host rota
• Providing necessary training and tools for hosts
• Ensuring Host cover is always provided when necessary at 195
• Reviewing contracts of Hosts
• Recruiting new Hosts whenever applicable
• Approving timesheets and managing absence

Office Move

To ensure that the office move in June 2008 is run smoothly and efficiently by:

• Organising the lead up to the office move in June, liaising with Chief Operating Officer, estate agent, builders and suppliers where necessary
• Coordinating the move itself
• Ensuring the new building is effectively running and compliant with all Health and Safety requirements

Other

195 Piccadilly responsibilities include:

• Managing the cleaning contract for 195 (including carpet)/pest control contract
• Managing the telephone system for 195
• Managing the security contract for 195 and ensure they are providing a first class service
• Managing the key holding contract for 195
• Signing off all appropriate invoices
